Canteen Board
Officer help
The officers desk is where you update what the TV in the hall shows. You use a web browser. Desk work is not an app on your phone.
Sign in to the desk
Open your board's address and add /admin on the end. The first username was shown when the board opened. The password was shown once on that page. It is not emailed.
Everyday jobs
After you sign in, the home page has four jobs you do most days. TVs, TV look, Hall, Billing, Birthdays, Guest book, Trivia night, Flagged photos, Member email, and Settings are on that page too. Phone app, phone blasts, and tools stay under More.
- Post an event. Add a supper, a meeting, or a game night. It shows on the TV as soon as you save.
- Put up a notice. Write a short note for the hall. Turn it off when it is finished.
- Approve photos. Guests send photos with the scan code. Nothing shows on the TV until you approve it.
- Guest notes. Guests leave notes with the note scan code. The notes stay on this desk. They are not shown on the TV.
Post an event
Open Post an event. Give it a name, pick the day, set the start time, and say where it is. The end time is on the form, under the start time. It starts at two hours after the start, and you can change it there. Save. Badges and a calendar file are under More. The television shows the start time and the end time, such as Tonight · 5:30 – 7:30 PM. Bar open hours live in one place. The phone app uses the same week.
Notices
Open Put up a notice. Write a title and a short note, then save. A notice that is turned on shows on the TV until you turn it off, or until the hide date you set. Leave Hide on blank and it stays until you turn it off. When they do not all fit, the list scrolls. Tap Showing on TV or Hidden to change one. If notices are turned off, or the hide date has passed, a notice can be on and still stay off the TV. Admins, and officers whose admin turned on Can send phone alerts, can also send the notice to phones.
Approving photos
Open Approve photos. That page lists photos that are not on the TV yet. Approve one, or remove it. On the board is photos already approved. An admin can approve every waiting photo at once. Flagged photos are photos a member reported in the phone app.
The TV in the hall
Guests see the board on the television. Pick a look: Classic, Simple, or Photos. Then tick what to show: notices, events, photos, and weather. Birthdays stay off until an admin turns that switch on. Anniversaries use the same switch. Only members who said yes are shown. The line looks like Happy birthday · Bob S. · Oct 5.
Weather comes from the US National Weather Service. We send the board's coordinates only. It shows for posts in the United States.

Put the board on a television
A smart TV with a web browser, a Fire TV Stick, Apple TV, Roku, a computer or Chromebook on HDMI, or an iPad can open the board in a browser or with the Canteen Board TV app. You can also open /tv, which shows a short code. An admin opens TVs on the desk and enters that code. Officers can see which televisions are paired. An admin pairs, renames, and unpairs them. The phone app is on this desk now.
Birthdays
An admin opens Birthdays and chooses which members show on the TV. A date stays off until that member says yes. Officers do not change that list.
Phone app
An admin opens Phone app under Settings. The join code is how a member's phone finds this post. Address, phone, website, and social links are entered once under Post profile. They feed the TV and the phone app. Only an admin can send a blast, unless that admin turns on Can send phone alerts for an officer. The switch is on the Officers page and starts off. An officer with it on can send a blast right away and can tick Also send as an app push on a notice. Scheduling a blast for later stays with an admin. An officer with it off cannot. Admins can always send. A blast is a short message on members' phones. It is not a text message and it is not shown on the TV.
Members use four tabs: Home, Alerts, Photos, and Find. Tonight and coming up live on Home, under See more. There is no Events tab. Photos is for sending photos and notes to the desk. Find is how a member switches clubs.
Phone polls
On Phone blasts, Send a poll asks one question. Send it to everyone, or only to the mailing lists you pick. Only those people get the notification and can answer. The answers are Yes, No, and Tentative. A member can add a short note. The name on the answer is the name they gave when they turned notifications on. Answering again replaces the earlier answer. Close the poll when you are done. After that, the phone can still see the answer, but it cannot change it.
You can add a date, a start and end time, or tick All day, and a place. That stays with the poll. It does not add an event to the TV. You can instead pick an event that is already on the board. Only an admin, or an officer with Can send phone alerts turned on, can send or close a poll.
Guest book and email
An admin opens Guest book to see who signed, and Member email to write to members who asked for email. Officers do not see those pages.
Add officers
An admin signs in and opens Officers. That page adds a name and a password. Officers run the desk and the event list. An admin changes the post profile, the phone app, billing, badges, and who can sign in. An officer's Settings page is only their own password.
Hall rental
Hall rental is included with the board. Open Hall. An admin turns it on when the post wants a public rental calendar, and turns it off to hide that page. Officers can answer requests that are already waiting.
Canceling
An admin opens Billing. The trial, the account, the card, and canceling are there. Canceling stops future charges. The board, including the television, keeps running until the end of the period you already paid for. You can undo that cancel before the period ends. When the paid period is over, the television pauses, the desk stays open, and the board is kept for 90 days so you can download an export. A free trial, or an invoice with nothing prepaid, pauses when you cancel. An unpaid invoice pauses the television after 60 days and does not delete the board. Officers do not open Billing. Ask an admin about the bill.
Forgot password?
On the desk sign-in page, choose Forgot password? We email one link to the owner email on file. The link works once and expires in 30 minutes. Choose a new password on that page. You'll be signed out everywhere else.

How photo storage works
Your board keeps your newest 2,000 photos. Older ones are removed automatically. Mark a photo Keep to hold on to it. Photos in an album that is on the television are kept too. If your Keep photos and on-TV albums alone are over that number, nothing is removed and the desk lets you know. We keep resized copies of each photo for the board and do not keep the original file.
A few words
- Notice. A short note on the TV until you hide it.
- Event. Something on the calendar, with a day and a start time.
- Album. A folder of photos. An album that is on the television plays on the TV.
- Scan code. The square code guests use to send a photo or a note.
- Admin. Can change the post, the phone app, billing, and who signs in.
- Officer. Can post events, notices, quotes, and approve one photo at a time. Cannot change billing. Cannot send a phone alert or a poll unless an admin turns on Can send phone alerts. Even then, the officer sends it right away.
- Poll. A yes, no, or maybe question on members' phones. It is not shown on the TV.
